Why use a Lapsed Patient List?
Enhance Patient Care
Patients who have not attended for 24 months or more may be at increased risk of oral health issues. A lapsed list allows practices to proactively invite these individuals back for review, supporting continuity of care and prevention-focused dentistry.
Support Patient Engagement
Many patients unintentionally disengage due to busy schedules or life events. A structured approach to identifying and contacting lapsed patients improves reactivation rates and fosters long-term relationships with the practice.
Meet NHS Contract Requirements
Lapsed patients can lead to missed UDA targets and affect NHS contract performance. By tracking and re-engaging these patients, practices can better plan appointments, reduce the risk of under-delivery, and stay on track with contract obligations.
Maintaining Accurate Patient Records
Identifying lapsed patients ensures that the practice database remains current and that communication preferences and clinical histories are kept up to date, which is important for both clinical governance and audit readiness.
Report Description:
Lapsed Patients (24+ Months Since Last Treatment)
This report identifies patients who have not received any treatment for at least 24 months, or who will reach this threshold within a specified date range. These patients are considered to have lapsed and may be suitable for recall or re-engagement.
Examples of Report Use:
Start and End Date = Today; Last Treatment = 24 months
Returns patients whose last treatment was exactly 24 months ago today.Start Date = Today; End Date = 7 days from now; Last Treatment = 24 months
Returns patients who have not been seen for 24 months as of today, as well as those who will reach this threshold in the next 7 days.Start Date = 1 January; End Date = Today; Last Treatment = 24 months
Returns all patients, year-to-date, who have not received treatment for at least 24 months.
Accessing the Report:
The report is available via the Patient & Clinical module or as a drilldown option from the KPI Summary Builder dashboard.
📝 Please note: Patients marked as Inactive in your Patient Management Software (PMS) are excluded from the report.
💡 Top tip: Results can be exported in CSV format using the Export Data button for further analysis in tools such as Microsoft Excel.
Parameters
The report parameters are:
Select Start and End Date
Select Practice(s): Allows selection of all or specific practices within the practice group.
Select Provider(s): Allows selection of all or specific dentists (providers).
Select Last Treatment: Period passed since last treatment (6, 9, 12, 18, 24, 36, 48 months ago).
Select Payor Types: All or NHS or Private.

Patient Code: Patient Code in your Patient Management Software (PMS).
Report Columns
Patient Code: The unique patient identifier from your Patient Management Software (PMS).
Patient Name: The patient’s full name as recorded in the PMS.
Dentist Code: The unique code assigned to the patient's dentist in the PMS. This refers to the Owning Dentist.
Dentist Name: The name of the dentist associated with the patient.
Payor: The payor name as recorded in the PMS (e.g., NHS, Bupa, Denplan).
Payor Types: Indicates whether the patient is NHS or Private.
Last Treatment Date: The date of the patient’s most recent treatment.
Lapsed Date: The date when the patient reached the specified lapse threshold (e.g., 24 months since last treatment).
Number of Days Lapsed: The number of days that have passed since the Lapsed Date.
Next Appointment Date: The date of the next scheduled appointment, if any, with a dentist or hygienist.
Next Appointment Provider Code: The unique provider code in the PMS for the clinician assigned to the next appointment.
Phone: The patient’s mobile number as stored in the PMS.
Email: The patient’s email address from the PMS.
To download a copy of your report you can use the Export Data button to download a CSV spreadsheet.
You can use the Print button in the top right as needed.
To set up automation of the report you can use the Schedule Report button
