What is the Debtors List?
Provides list of patients in debt or credit balance as of a particular date. This report is key for identifying patients who have had an overdue balance over a period of time and patients who have paid deposits for their treatment.
π‘Top tip: Running this report on a regular basis will help your patient debts to a minimum. We recommended at least once a month.
How to run the Debtors List report?
Click Financial Reports on the navigation menu and select Debtors List.
Choose the date you wish to run the report to by clicking into As of Date.
Under Practices select which specific practice/practices in the group.
From the Patient Balance Type(s) dropdown choose All to run the report for both debtors and creditors or debtors/creditors only.
Choose Stop Credit option from the dropdown.
π Please note: Stop Credit means there is a * (asterisk) which indicates that a βstop credit alertβ has been put against the patients record on the patient management software to indicate that they are a bad debt risk.
Choose your Reporting Level view from the dropdown.
Set the report to include the patients next appointment date by choosing yes on the Include Next Appointment option.
Choose to include Active/Inactive patients records.
Click Create Report to view the data.
Viewing your Debtors List
Provides each individual patient line with details of the provider who raised the invoice and the invoice number from the patient management software.
Learn how long the balance has been on the patients record with our aged buckets-
Current: the total of all statement transactions occurring less than 30 days before the as of date.
30 days: This will show any balance that has been owed for more than 30 days but less than 60 days.
60 days: This will show any balance that has been owed for more than 60 days but less than 90 days.
90 days: This will show any balance that has been owed for more than 90 days.
π¨ Important to remember: This report will include any unallocated payments sitting on your patient management software. You should allocate the payments to ensure your providers get paid for the treatment they have completed.
What does each reporting column mean?
Next Appt Date: This is the next appointment date the patient has booked at the practice.
Patient Dentist: The patient's registered dentist.
Payor Code: The patient payor code (NHS/Private/Plan) as set up in the patients record.
Last Statement Date: This shows the date when a statement was last generated in the patient management software for the patient.
Stop Credit: If there is a * in this column it indicates that a βstop credit alertβ has been put against the patients record to indicate that they are a bad debt risk.
Total: Total balance outstanding for that patient.
To download a copy of your report you can use the Export Data button to download a CSV spreadsheet.
You can use the Print button in the top right as needed.
To set up automation of the report you can use the Schedule Report button.
