How to Use the Waiting Time Report

Guide for understanding and using the MPC Waiting Time report.

Track Patient Waiting Times Over Selected Period

Use this report to focus on the the number of appointments during the selected date range. It categorises appointments based on how long patients waited to be seen after arriving, as well as by patient payor type.

If "Report By Individual Practice" is selected, the report displays a separate section for each chosen practice, along with a summary section that totals data across all selected practices.

  • Select date range

  • Select Practice(s)

  • Select Provider(s)

  • Select Payor Type(s)

  • Select Report by individual Practice or Summary of all selected Practice Report

  • Create Report

Each section includes the following:

  • The number of appointments grouped by patient wait time after arrival

  • A breakdown of each wait time group by patient payor category

  • Subtotals for each wait time and payor category

  • A summary of overall totals, both for each individual practice and, where applicable, across all selected practices

  • Practice: the practice name for this section

  • Payor: the patient's payor category, either NHS (UK only) or Non-NHS

  • < 0 Mins: The number of booked appointments within the report period where the patient was seen before their scheduled appointment time.

  • 0–5 Mins: The number of booked appointments within the report period where the patient waited between 0 and 5 minutes to be seen.

  • 5–10 Mins: The number of booked appointments within the report period where the patient waited between 5 and 10 minutes to be seen.

  • > 10 Mins: The number of booked appointments within the report period where the patient waited more than 10 minutes to be seen.

  • No Seating Time: The number of appointments where no 'seated time' was recorded, and therefore the patient's waiting time could not be determined.

Clicking on any of the numeric values will open the Patient List report in a separate browser window, displaying the patients whose appointments fall within the selected category during the reporting period.

The report parameters are:

  • Report by Individual Practice:
    Determines whether the report displays data separately for each selected practice or as a single combined summary across all selected practices.

  • Payor Type Filter:
    Filters the report by patient payor category. Options include All Payor Types, NHS (UK only), or Private.

  • Date Range:
    Specifies the time period for which the report data is generated.

  • Practices:
    Allows selection of one or more practices within the practice group to include in the report.

  • Dentist:
    Allows selection of one or more dentists (providers) for inclusion in the report data.

πŸ’‘ Top tip: Ensure you choose the appropriate Practice, Provider(s), and any necessary filters before generating the report to ensure accurate results.

  • To download a copy of your report you can use the Export Data button to download a CSV spreadsheet.

  • You can use the Print button in the top right as needed.

  • To set up automation of the report you can use the Schedule Report button.
