Introduction to the Patient (Beta) Tab in MPC Explorer

An introductory guide to the Patient tab in MPC Explorer — analysing patient demographics, conversion and lifecycle.

Written by Lily Hunt

Introduction to the Patient Tab

The Patient tab is where MPC Explorer helps you understand your patients — who they are, how they move through your practice, and how well first visits turn into ongoing treatment.

Where the other subject areas focus on activity and revenue, the Patient tab focuses on demographics, conversion and lifecycle.

It answers the questions that matter for growth and retention, such as "How many patients who had their first exam last month came back for treatment?" or "Which practices are best at converting new patients into ongoing care?"

As with the rest of Explorer, you can ask our AI Assistant, MAC, a question in plain English and it will build the report for you.

What You Can Do with the Patient Tab

Patient Conversion

  • Measure how many patients move from one appointment to the next

  • Set what counts as "converting" and the window patients have to do it

  • Track conversion rates across your whole patient base

Lifecycle & Retention

  • Follow patients from their first appointment through to return visits and treatment

  • Understand where patients drop off along the way

  • Spot opportunities to bring patients back into active care

Demographics

  • Break conversion down by Age Band, Gender, Patient Status and more

  • Compare NHS, Private and Plan patients

  • See how different patient groups behave

Multi-step Journeys

  • Add steps to build a multi-stage funnel (for example, Exam → Treatment → Review)

  • See conversion and drop-off at each stage

How the Patient Tab Works

Every Patient report is built around a cohort — a group of patients defined by something they did. You describe two things:

  • The starting event — what the patient did, and the period it happened in (for example, patients who had their first exam in the last 30 days).

  • The conversion — what you want them to do next, and how long they have to do it (for example, went on to have treatment within 6 months).

Explorer then works out how many patients in that cohort converted, and shows you the result as a table or a funnel.

📝 Please Note: The date range scopes the starting event, not the conversion. A conversion is allowed to happen after the date range ends — and usually does — so a patient whose first exam fell in your chosen period still counts if they return for treatment later.

Building Your Cohort

Filters

  • Practices — analyse all dental practices or focus on specific ones

  • Payors — include all payors or narrow to a specific one

Starting Event

  • What did they do? — the action that defines the cohort (for example, Had an appointment)

  • Which appointment — which appointment counts (for example, their first of this type)

  • Treatment category — limit to a category, or leave as All Categories

  • Date Range — the period the starting event fell in (for example, Last 30 Days)

Converted

  • Within — how long patients have to convert (for example, within 6 months)

  • To an appointment for — what counts as converting, by treatment category

Add Step

  • Use + Add step to extend the journey into a multi-stage funnel

  • Each step becomes another stage patients can progress through

💡 Top Tip: Start simple — one starting event and one conversion — then add steps or breakdowns once you have your baseline. When you're ready, click Generate Report, or use Reset Configuration to start again.

Breakdowns

Breakdowns let you split your conversion results into groups so you can compare them. Add one or more, then drag them into the order you want using Hierarchy Order.

Available breakdowns include:

  • Practice

  • Provider

  • Patient Status

  • Age Band

  • Gender

  • NHS / Private / Plan

  • Referral Source

  • Treatment Category (Step 1) and Treatment Category (Step 2)

📝 Please Note: Some breakdowns are only available with certain cohort configurations. When a breakdown doesn't apply to your current setup it appears greyed out.

Viewing Your Results

Table View

  • See conversion numbers and rates for each group in your breakdown

  • Organised by your hierarchy order

Funnel View

  • A visual flow showing how patients move from the starting event through to conversion

  • Ideal for seeing where patients drop off between stages

Saving & Sharing

  • Give your report a name (it starts as "Untitled Report")

  • Use Save Report to reuse it later, and Load Report to open a saved one

  • Use Share to send it to colleagues

Create Your First Patient Report

  1. Select the Patient subject area

  2. Choose your Practices and Payors

  3. Set the Starting event — what patients did, and the date range it fell in

  4. Set what counts as Converted — the follow-up action and the time window

  5. (Optional) Add a breakdown to compare groups, or + Add step for a multi-stage funnel

  6. Click Generate Report

  7. Switch between Table View and Funnel View, then Save or Share

💡 Tips to Get More from the Patient Tab

  • Remember the date range scopes the starting event — conversions can, and usually do, happen after it

  • Add a breakdown to compare conversion across practices, providers or categories

  • Start with a simple two-stage cohort before building longer funnels

  • Save the reports you use often so you can reload them in one click

  • Use MAC to build reports by asking in plain English

💡 Top Tip: Try asking MAC "How many new patients last month came back for treatment within 6 months?" — then refine the cohort or add a breakdown from there.
