How to Use the Recall Effectiveness Report

This report provides key metrics for monitoring appointment recalls, offering a detailed monthly breakdown of data throughout the reporting period. It helps you track trends and ensure that recall appointments are being managed effectively.

  • Select start and end dates

  • Select Practice(s)

  • Select Providers(s)

  • Select Payor Type (NHS or Private)

  • Select Report by individual Practice or Summary of all selected Practices

  • Click Create Report

Fields for each section

  • Year: The calendar year when the recall is due

  • Month: The calendar month when the recall is due

  • Total Recalls: The total number of appointment recalls due this month (for both dentist and hygienist), excluding those with an Inactive or Do Not Recall status

  • Total Success: The total number of recalls that have been Booked or Completed during this month

  • Total Success (%): The percentage of successful recalls (Total Success ÷ Total Recalls)

  • Dentist: The total number of dentist-specific recalls due this month

  • Dentist Success: The number of successful dentist-specific recalls (Booked or Completed)

  • Dentist Success (%): The success percentage for dentist-specific recalls

  • Hygienist: The total number of hygienist-specific recalls due this month

  • Hygienist Success: The number of successful hygienist-specific recalls (Booked or Completed)

  • Hygienist Success (%): The success percentage for hygienist-specific recalls.

  • Effectiveness: A color-coded bar showing the distribution of recalls with different statuses. The bar’s length represents the Total Recalls, while each colored section corresponds to the number of recalls with a specific status. A longer red section indicates a higher number of Failed recalls

  • Statuses: The number of recalls with each status in the month:

  • Inactive

  • Do Not Recall

  • Completed

  • Moved On

  • Booked

  • Failed

  • Future

💡 Top tip: Clicking on a row in the 'Month' column will open the Recall Effectiveness Detail report in a new browser window, providing a deeper dive into the data behind the recall totals for that month.

📝 Please note: If the payor type parameter is set to anything other than All Payor Types, the report will only display recalls related to patients associated with the selected payor type.

Report Parameters

The following parameters can be set to customise the report output:

  • Payor Type: Choose from All Payor Types, NHS (UK), or Private. This filters recalls based on the patient's payor type, as defined in the Patient Management Software (PMS)

  • Date Range: Specifies the reporting period for the data shown

  • Practices: Select one or more practices from within the practice group to include in the report

  • Dentist: Filter the data by selecting all or specific dentists (providers)

  • To download a copy of your report you can use the Export Data button to download a CSV spreadsheet.

  • You can use the Print button in the top right as needed.

  • To set up automation of the report you can use the Schedule Report button.

💡 Top tip: Ensure you choose the appropriate Practice, Provider(s), and any necessary filters before generating the report to ensure accurate results.
