How to Use the Forward Cover Detail Report

How to see a Summary of Booked Hours

This report is designed to be run for a current or future date range and provides a summary of hours booked across various time slots during the working day of selected providers.

If the "Report by Individual Practice" option is selected, a separate section is shown for each selected practice, followed by a consolidated summary that totals data across all selected practices.

  1. Select Start and End Dates

  2. Select Practice

  3. Select Providers

  4. Choose Report by Individual Practice or Summary of All Selected Practices

  5. Choose Daily, Weekly or Monthly

  6. Click Create Report

Section Details

Each report section includes the following information:

  • Summary Graphic Dial
    A visual representation of the overall Booked % across the reporting period

  • Date
    The date associated with the data row. Depending on the selected report type (Daily, Weekly, or Monthly), each row will represent a corresponding time interval

  • Hours Available
    The total number of unblocked hours in the appointment diary for the period, across all selected providers

  • Timeslot Breakdown
    Booked hours are shown for the following daily intervals:

    • Before 9 AM

    • 9 AM – 12 PM

    • 12 PM – 2 PM

    • 2 PM – 5 PM

    • 5 PM – 8 PM

    • After 8 PM
      These figures represent the total booked hours in each time slot, excluding cancelled or failed appointments

  • Weekend
    Total hours booked on weekends for all selected providers. This column only shows non-zero values on weekend dates (for daily reports) or for any period containing a weekend (for weekly or monthly reports)

  • Appointments
    Total booked/completed appointment hours during the period

  • Holidays
    Total blocked hours labeled as Holiday (based on block reasons containing the word "holiday")

  • Other
    Blocked hours not categorised as Holiday

  • Booked
    The total number of booked hours in the row's time period. This is the sum of all timeslot columns, excluding cancelled or failed appointments

  • Unbooked
    Calculated as Hours Available – Booked, representing unutilised or "whitespace" hours

  • Unbooked %
    The percentage of available hours that remain unbooked: (Unbooked / Hours Available) × 100

Graphical Visualisation

A graphical plot is displayed below the data table, providing a line chart that illustrates key booking metrics over the selected reporting period. The chart includes the following measures:

  • Booked

  • Booked %

  • Unbooked

  • Unbooked %

This visual representation helps identify trends in appointment utilisation and whitespace over time.

Report Parameters

The report can be customized using the following parameters:

  • Report by Individual Practice
    Choose whether to display data for each selected practice separately or as a single combined summary across all selected practices

  • Report Type (Daily / Weekly / Monthly)
    Specify how the data should be grouped: by day, week, or month within the reporting period

  • Date Range
    Defines the start and end dates for the reporting period

  • Practices
    Select one or more practices within the practice group to include in the report

  • Dentist (Provider)
    Choose to include all providers or specific individuals

  • To download a copy of your report you can use the Export Data button to download a CSV spreadsheet.

  • You can use the Print button in the top right as needed.

  • To set up automation of the report you can use the Schedule Report button.
