Appointment Analysis by Period
Overview: This report provides a summary of appointment statistics over a selected period, showing key metrics such as appointment counts, attended rates, and missed appointments
Useful For: Tracking appointment trends over time, identifying peak appointment periods, and adjusting schedules to reduce no-shows and maximise attendance
How to set Parameters on Appointment Analysis by Period Report
Select Start and end date for your report or choose date range from drop down
Select Practice(s)
Select Provider (s)
Select Appt Analysis items from drop down
Select Summary Level (Practice or Provider)
Select Comparison Periods (to compare data with previous years)
Click Apply
Click Create Report

Hours Available: the total number of unblocked hours in the appointment diary for this period
Hours Available – Excluding Unblocked Diaries: Hours Available excluding hours from days which have no booked appointment hours
Unblocked Diaries Hours: The number of available hours from days which have no booked appointment hours
Extra Hours: the total number of hours worked in blocked out time, i.e. hours worked in periods of the diary that was not marked as available
Hours Whitespace: the total number of unblocked hours in the appointment diary for this period which were not associated with appointments (Note that cancelled appointments are currently considered as whitespace, but failed appointments are not)
Hours Whitespace - Excluding Unblocked Diaries: the total number of unblocked hours in the appointment diary for this period which were not associated with appointments (Excludes whitespace hours from days which have no booked appointment hours)
Whitespace %: Hours Whitespace / Hours Available as a percentage.
Whitespace % – Excluding Unblocked Diaries: Whitespace % excluding hours from days which have no booked appointment hours
Hours Unbooked: the total number of unblocked hours in the appointment diary not associated with either valid appointments OR cancelled/failed appointments. This is time that was never associated with any appointments, i.e. never booked.
Hours Unbooked - Excluding Unblocked Diaries: the total number of unblocked hours for this period which were not associated with either valid appointments OR cancelled/failed appointments. Excludes unbooked hours from days which have no booked appointment hours. This is time that was never associated with any appointments, i.e. never booked.
Unbooked %: Hours Unbooked / Hours Available as a percentage
Unbooked % – Excluding Unblocked Diaries: Unbooked % excluding hours from days which have no booked appointment hours
Hours Worked: the total number of unblocked hours with booked appointments plus the total number of extra hours
Worked %: Hours Worked / Hours Available as a percentage
Worked % – Excluding Unblocked Diaries: Worked % excluding hours from days which have no booked appointment hours
Hours Booked: the total number of unblocked hours successfully associated with appointments
Booked %: Hours Booked / Hours Available as a percentage
Booked % – Excluding Unblocked Diaries: Booked % excluding hours from days which have no booked appointment hours
Patients Booked: this is the total of Patients Seen, Cancelled and Failed.
Patients Seen: this is the total number of booked in appointments.
Patients Seen %: this is the percentage calculated as Patients Seen / Patients Booked, which for past periods, gives a measure of the completion rate for appointments booked into the diary.
Patients Completed: this is the total number of completed appointments for past dates that are not cancelled or failed.
New Patients: the number of appointments classed as new patient appointments (1st Visit checkbox ticked) for this period.
New Patients %: New Patients / Patients Booked as a percentage.
Est. New Patient Revenue: The estimate of revenue obtained from new patient appointments (1st Visit checkbox ticked) for this period.
Patients Cancelled: the number of appointments classed as cancelled.
Hours Cancelled: the total number of hours of cancelled appointments,not reused with other appointments.
Hours Cancelled %: the total number of hours of cancelled appointments, not reused with other appointments.
Hours Cancelled % – Excluding Unblocked Diaries: Hours Cancelled % excluding hours from days which have no booked appointment hours.
Est. Cancelled Revenue: Estimation of revenue lost from cancelled appointments. This is taken from the 'cost estimate'.
Patients Cancelled %: Patients Cancelled / Patients Booked as a percentage.
Patients Failed (FTA): the number of appointments classed as failed to attend (FTA).
Hours Failed (FTA): hours due to FTA appointments, not reused with other appointments.
Hours Failed (FTA) %: Hours Failed (FTA) / Hours Available as a percentage;
Hours Failed (FTA) % – Excluding Unblocked Diaries: Hours Failed (FTA) % excluding hours from days which have no booked appointments.
Est. Failed (FTA) Revenue: Estimation of revenue lost from FTA appointments.
Patients Failed (FTA) %: Patients Failed/Patients Booked as a percentage.
Distinct New Patients: The number of patients completing their first appointment,where at least one service item has been ticked.
Distinct New Patients: Dentist: The number of patients completing their first appointment with a Dentist, where at least one item has been ticked in the Course of Treatment. This value represents patients who are new to the Dentist business model but are not necessarily new to the practice as they may have been seeing an Hygienist at the practice for many years.
Distinct New Patients: Hygienist: The number of patients per practice completing their first appointment with a Hygienist where at least one item has been ticked in the Course of Treatment. This value represents patients who are new to the Hygienist business model but are not necessarily new to the practice as they may have been seeing a Dentist at the practice for many years.
Providers Available: Providers or Provider Codes available to work on a particular day.
Providers Worked: Providers or Provider Codes that worked on a particular day, irrelevant of the time spent.
