How to Use Diary Utilisation on Action Today Dashboard

What is the Diary Utilisation Tile?

The Diary Utilisation tile gives you a snapshot of your appointment diary for today and the next two working days.

It shows across all providers diaries on your practice management software:

  • Booked hours %

  • Whitespace hours

This helps you quickly identify gaps so you can prioritise filling your diary.

How to read the Diary Utilisation tile

  • The percentage in the circle shows your booked appointments.

  • The number in red below shows your unbooked hours (whitespace).

Click on Diary Utilisation to drill down into the Appointment Diary Report, where you can view future days in more detail.

πŸ’‘Top Tip: Adjust the date parameter to quickly preview upcoming diary utilisation. You can report up to 9 months ahead.


Understanding the Key Metrics

Available Time (Blue)

The total number of unblocked hours in the diary for any current active provider that day.

Appointments (Green)

The total number of booked appointment hours, plus the number of booked appointments.
​Note: Cancelled, failed, moved, deleted are excluded.


​Whitespace (Red)

The total number of unbooked hours, also displayed as a percentage of available time.

Bar Graph View

The bar graph helps visualise your diary at a glance:

  • Green- Booked appointments.

  • Red- Whitespace

  • Grey- Blocked time in the diary commonly used for breaks, practice meetings or training.


​Interactions

  • Click a bar to open provider diaries.

  • Click again to reveal appointment details for that provider.

  • Clicking an expanded provider row will collapse it back.

  • Clicking the practice-level row returns you to the by-practice summary

🚨 Important: Ensure your diaries are blocked correctly in your Dental Software.
Incorrect blocking affects utilisation figures.
If no patients are booked in, the diary will show 100% whitespace β€” this is a useful signal that the diary should be closed.
