How to Use the Active Patients Report

Track Patients based on the time since their last appointment

What Does the Active Patients Report Tell me?

The aim of the report is to illustrate the profile of patients within a practice β€” specifically, whether they are returning regularly for treatment. If patients are returning regularly, the majority will be found in the 0-6 Months or 6-12 Months categories. If they are not returning as frequently, larger numbers of patients may appear in the 18-24 Months or even the Over 24 Months categories.

This report provides a breakdown of patients for the selected practices, categorising them based on the time elapsed since their last completed treatment. It includes only patients who:

  1. Are currently active (i.e., not marked as Inactive on the patient details screen).

  2. Have had at least one completed treatment.

πŸ“ Please note: Patients who are currently marked as Inactive or have never had any completed treatment are not included in this report.

  • Select Practice(s)

  • Select Provider(s)

  • Select Payor Type

Report by Individual Practice:This dropdown allows you to choose between displaying data for each selected practice separately or a single summarised total for all selected practices combined.

  • 0-6 Months: Displays the number of patients whose last completed treatment occurred within the past 6 months from the current date.

  • The 6-12, 12-18, 18-24, 24-36, 36-48, and Over 48 Months columns function similarly to the 0-6 Months column but represent different time period

  • For example:

  • 6-12 Months shows the number of patients whose last completed treatment occurred between 6 and 12 months ago from the current date.

  • 12-18 Months covers 12 to 18 months ago, and so on.

A given patient included for a particular practice, meaning they have had at least one completed treatment, will only be counted in one of the time categories (e.g., 0-6 Months, 6-12 Months, etc.).

πŸ“ Please note: Clicking on a numeric value in the time category columns will display a list of patients who fall into that category in a new browser window, within the 'Patients List' report.

  • To download a copy of your report you can use the Export Data button to download a CSV spreadsheet.

  • You can use the Print button in the top right as needed.

  • To set up automation of the report you can use the Schedule Report button.
