How to use the Cancellation Report on Action Today Dashboard

Track and manage cancelled appointments using the Action Today Dashboard to reduce white space in your Appointment Diary and rebook patients quickly.

Cancellations Tile Overview

The Cancellations tile on the Action Today Dashboard shows:

  • Number of cancelled appointments in the last 30 days that do not yet have a new appointment booked.

  • A right-hand box showing how many hours remain unbooked due to cancellations for today and the next working day.


This alert helps prevent white space creeping into your diary and provides an actionable way to get patients back in the chair.

Patient Cancellation Details Report

Clicking on the Cancellations tile drills directly into the Patient Cancellation Details Report.

This report shows all patients who have cancelled appointments in the past 30 days whether they have a future appointment booked or not. The report includes cancellations by the practice and/or patient.


How to Use the Report Efficiently

We would recommend running the report at least once a week and contacting the patients that need a future appointment booked.

💡 Top tips:
1. Use the scroll bar above headings to move to end of report to view the full details.

2. Review the Number of Cancellations in the last 24 months column against your practice’s cancellation policy.

🔄 Sorting the Report

  • Click the column heading to toggle sorting from highest to lowest values (or vice versa)

📝 Please note: Use the column heading to toggle on New Appointment Made to bring the patients with no future appointment booked to the top of this list for reception to contact to offer a next appointment.

Exporting, Printing & Automating the Report

  • Export Data: Download the report as a CSV spreadsheet

  • Print: Use the Print button in the top-right corner

  • Schedule Report: Set up automated delivery using the Schedule Report button
