Gain visibility over patient treatment journeys

Your TCO Today Dashboard enhances operational visibility, supports clinical decision-making, and improves patient care delivery by ensuring treatment plans are actively managed and progressing efficiently.

How can the TCO Dashboard help Day to Day?

  • Identify treatment plans that are still open but have no scheduled appointments.

  • Monitor Number of Courses of Treatment Started Current and previous Month

  • Track the Number of COTs in Progress Current and Previous Month

  • See the total value of treatments marked as complete..

  • Monitor the Number of Courses of Treatment Created and the Average Value per Plan

  • Monitor Failed to Attend and Cancelled Appointments

  • Instantly

  • Analyse Diary Utilisation for Optimising Clinical Capacity

🚨 Important: Choose to include NHS COTs in your figures by selecting Hide NHS COTs or Show NHS COTs.

Visibility: Only for Groups with an NHS relationship.

Open COTs without Appt (Past 6 months)

  • Click on the Open COTs without Appt tile to Open Treatment Plans by Period Detail Report.

  • This report displays all Treatment Plans opened in the previous 6 month period.

  • Start Date: -6 months

  • End Date: Yesterday

  • Practices: As determined by the Practice Selection TCO Today header.

  • Providers: All Providers, Active and Inactive.

  • Payor Code: None Specified (Not applicable for NHS Treatment Plans By Period Detail).

  • Completed Type: Incomplete Unbooked (Open COT with no future appointment)

💡 Top tip: Also gain access to this Report by drilling down from the Treatment Plans by Period report, via the Custom Dashboard feature tiles like Completed Treatments Value and Treatments Created (Quotes) Versus Started Booked, or directly through the Patient & Clinical module.

New Registered Patients without Appt

New Patient Registrations and Appointment Activity

  • This tile summarises new patient registrations at the practice over the past three months (current month, previous month, and the month prior).

  • A circular indicator illustrates the percentage of newly registered patients who have booked an appointment.

  • The number of newly registered (record created) patients who have not booked any appointments is highlighted in red below the indicator.

  • RAG Status Criteria for Dials

    • Green: 100% of new patients have booked an appointment

    • Amber: 90% to 99.9% booked

    • Red: Less than 90% booked

💡 Top tip:Click in to each circle to view the New Patients Created Analysis Report for selected period.

📝 Please note: Booked % in this reports refers to newly registered patients and whether they have booked at least one app

Click on the Month Before Last, Last Month, or This Month sections opens a new browser tab displaying the New Patients Created Analysis report with the following parameters:

  • Start Date: Corresponding to the selected month’s start date

  • End Date: Corresponding to the selected month’s end date (up to yesterday for the current month)

  • Practices: As selected by the Practice Selection in the TCO Today header

Note: The report includes all registered patients—both those with and without initial appointments.

COTs Created

  • This Tile displays the number and 'Total Treatment Plan Value' of treatments 'Created' in the current and previous month.

  • Each Tile displays the number of COTS created and their Value.

🚨 Important: NHS COTs: Displayed only if Show NHS COTs is selected and the practice has an NHS relationship within the UK.

📝 Please note: Created Treatments include all Courses of Treatment with any status and containing at least one service item, created in the previous or current month.

Clicking on the Last Month or This Month values opens a new browser tab displaying either the Treatment Plans by Period Detail or NHS Treatment Plans by Period Detail report, based on context:

  • Start Date: Start of the selected month

  • End Date: End of last month / yesterday (for current month)

  • As selected by the Practice Selection

📝 Please note: Some of these COTs may have no service items selected, some will have specific service items ticked, and others will be fully completed.

COTs In Progress

This tile provides valuable insights into clinical efficiency and patient engagement

This displays the number and 'Total Treatment Plan Value' and number of COTs open and in progress for the current and previous month.

Clicking on the Last Month or This Month values opens a new browser tab displaying either the Treatment Plans by Period Detail or NHS Treatment Plans by Period Detail report, based on context:

  • Start Date: Start of the selected month

  • End Date: End of last month / yesterday (for current month)

  • Practices: As per Practice Selection in the TCO Today header

  • Providers: All (active and inactive)

🚨 Important: NHS COTs: Displayed only if Show NHS COTs is selected and the practice has an NHS relationship within the UK.

COTs Completed

This Tile displays the number and 'Total Treatment Plan Value' of treatments completed in the current and previous month.

Clicking the Last Month or This Month values opens a new browser tab displaying one of the following reports, depending on practice type:

  • Private Practices: Treatment Plans by Period Detail

  • NHS Practices: NHS Treatment Plans by Period Detail

🚨 Important: NHS COTs: Displayed only if Show NHS COTs is selected and the practice has an NHS relationship within the UK.

  • Start Date: First day of the selected month (Last Month or This Month)

  • End Date: Last day of the previous month (for Last Month) or Yesterday (for This Month)

  • Practices: As defined in the Practice Selection

  • Providers: All (active and inactive)

Each Tile displays the number of COTS completed and their Value.

🚨 Important: This tile shows only COTs completed in the current and previous month regardless of their created date.

COTs Created - Average Treatment Plan Value

This Tile displays the Average Treatment Plan Value of COTs created in the current and previous month

This value is calculated by dividing the total Treatment Plan Value of all Courses of Treatment (COTs) created during the reporting period—across both Active and Inactive Providers—by the total number of COTs created within the same period.

Clicking on Last Month or This Month opens a new browser tab displaying either the Treatment Plans by Period Detail or NHS Treatment Plans by Period Detail report.

Start Date: First day of the selected month

End Date: Last day of last month / yesterday (for current month)

Practices: Based on TCO Today Practice Selection

Providers: All (active and inactive)

🚨 Important: NHS COTs: Displayed only if Show NHS COTs is selected and the practice has an NHS relationship within the UK.

Fail to Attend

  • Displays the number of FTA's yesterday (or the last working day)

  • Number of FTA's that have NOT rebooked an appointments looking back over the last 30 days.

Clicking on either box opens a new browser tab opens Patient FTA Detail Report

Overview: This report tracks all instances of missed appointments (FTAs), providing details on each occurrence, including reasons when available.

💡 Top tip: Analyse patient attendance trends, managing follow-ups, and implementing strategies to minimize missed appointments.

Cancellations

Track your cancellations using the TCO Today Dashboard

  • This tile displays the number of cancelled appointments that have not yet been rebooked.

    The box on the right indicates the total number of unbooked hours resulting from cancellations for today and the next working day.

This alert helps prevent white space creeping into the Appointment Diary through cancelled appointments and is a great actionable report for helping you to get those those patients back in the chair!

The drill down for the cancellation tile goes straight to the Patient Cancellation Details report, and this shows the status of all patients that have cancelled in the past 30 days.

💡 Top tip: Check how many cancelled hours that remain un-booked for today and the next working day

Diary Utilsation

View your booked appointment % and whitespace hours

This report gives you a graphical view of the appointment diary whitespace, for each day in the selected period.

  • The Diary Utilisation tile gives you a snapshot of the Appointment Diary for today and the next working day.View your booked appointment % and whitespace hours.

    View the booked percentage figure in the circle and the unbooked number of hours in red below. This allows you insight into how much unbooked time you have over the coming days so you can prioritise as needed.
