How to Access the Dentist Portal Dashboard
From the navigation menu on the left-
Select Dentist Portal.
Click Dentist Portal Dashboard.
You will then be taken to the main dashboard view.
Selecting a Practice and Clinician
At the top of the dashboard you will see two dropdown menus.
Select the Practice.
Select the Clinician.
Once selected, the dashboard will load all performance data related to that individual associate.

Selecting this tile shows an overview of the clinician’s diary for the next 5 working days.
It includes:
Booked hours
Unbooked hours
Potential revenue opportunity
The revenue opportunity is calculated using the average revenue per hour worked during the previous month.
This section helps identify available capacity in the diary.
Diary Utilisation
Diary Utilisation
This dashboard shows how effectively the clinician’s diary is being used.
Metrics include:
Hours Available
Hours Worked
Unbooked Hours
Estimated Lost Revenue
Each metric is displayed for:
The last working day
Month to date
Year to date
Estimated lost revenue is based on the average earnings per hour worked in the previous month.
Financial Summary
Financial Summary
This tile provides an overview of the clinician’s revenue performance.
It includes:
Revenue achieved for the last working day
Month to date revenue
Year to date revenue
Earnings per hour worked
Earnings per hour available
A bar chart compares:
Current financial year
Previous financial year
The chart can be filtered by:
Private
NHS
Combined (Private + NHS)
Patient Analysis
Patient Analysis
Clicking on the Patient Analysis tile opens a detailed view of patient attendance and revenue metrics for the selected clinician.
Attendance Overview
The main section displays a bar graph showing:
Number of patients seen
Number of FTA (Failed to Attend) appointments
By default, this information is shown for the previous working day, but it can also be switched to display Month-to-Date data.
Below the graph, several tiles provide a quick summary of performance metrics:
Patients Seen vs Booked – Shows how many patients attended compared to the total number booked.
FTA Percentage – Displays the percentage of failed appointments compared to the FTA best practice rate.
Estimated Revenue Lost – Calculates the potential revenue lost due to missed appointments.
Cancelled Hours (Short Notice) – Indicates the number of clinical hours lost due to last-minute cancellations.
Daily and Monthly SummaryThese metrics are displayed as tiles for:

This allows clinicians and practice managers to quickly compare daily performance with overall monthly trends.
Revenue Loss CalculationAt the bottom of the page, you will find a Revenue Calculation Details section.
This section explains how the estimated revenue loss has been calculated, providing transparency on the values used in the analysis.

Clicking on the Recall Effectiveness tile displays information about how effectively patient recalls are being booked.
We highlight the number of patient recalls that were due, along with the percentage of those recalls that were successfully booked for the following time periods:

Clicking on the New and Lapsed Patients tile opens a detailed view that helps track patient acquisition and retention for the selected clinician.
This section displays key patient metrics for the current month including:
New Patients – The number of patients who have joined the practice and had their first treatment completed in the month.
Lapsed Patients – Total number of patients who have not had a completed course of treatment within 24 months.
Active Patients – Total number of patients with a completed course of treatment within the past 24 months.
Monthly Trends
You will also see an overview showing monthly trends for the previous three months, including:
Number of new patients
Number of lapsed patients
Total active patients
This overview allows clinicians and practice managers to quickly identify changes in patient growth, retention, and engagement over time.
UDA Tracking
UDA Tracking
This tile is applicable to NHS England and Wales practices only.
Clicking on this tile will open up the UDA tracker and will show the actual vs targets for the year and for the month to ensure you are on track to meet the required targets for the selected clinician.
This will also show a forecast for the year and for the month based on the available hours in the appointment diary.
Open COTs
Open COTs
Clicking on this tile will open the overview of all active courses of treatment for the selected clinician.
You will see the total Open COTs that have active treatment plans, the number of those that do not have an appointment booked and need to be scheduled and the value of those treatment plans that are yet to be invoiced.
Debt Management
Debt Management
Clicking on this tile will open the overview of the outstanding payments for the selected clinician for active patients only.
It will show the current debt and the aged debt including trends of this debt either going up or coming down depending on when patients are paying these balances
