How to Use the NHS Completed Courses of Treatment at Risk Report

Identify NHS Courses of Treatment at risk of being time barred

Find Completed Courses of Treatment at Risk in the NHS tab on left menu as seen below:

What can Completed Courses of Treatment at Risk Report tell me?

Track Completed and Transmitted NHS Courses of Treatment

This report tracks completed NHS Courses of Treatment (COTs) and monitors those that may exceed the NHS claim submission limits:

  • 60 days in England,

  • 90 days in Scotland

  • 80 days in Northern Ireland.

Ensure Courses of Treatment are Completed and transmitted to NHS in time.

  • Select Practice(s)

  • Select Provider(s)

  • Select Days left to period end - days remaining before COT is time barred

  • Click Create Report

COT Status explained:

  • PLANNED: All service codes in the COT have been ticked as completed, but the COT has not been TC'd or transmitted to NHS (UK).

    • Solution - TC (Complete COT) and transmit to NHS.

  • TC: the COT has been TC'd, but not transmitted to the NHS yet.

    • Solution - Transmit COT to NHS.

  • TRANSMITTED: the COT has been transmitted to the NHS.

    • Solution - check NHS responses/rejected claims

COTs in the TRANSMITTED state will only be included in the report if the following conditions are met:

  • More than 30 days have passed since the completion date (for most regions).

  • More than 45 days for COTs in Scotland.

  • More than 90 days for COTs in Northern Ireland

  • COT Number: the unique identifying code for this particular Course of Treatment from the Practice Management Software

  • Completion Date: the date that the treatment was completed

  • Days Since Completion: Days between the Completion Date and the current date

  • Days Left:the number of days remaining until the 'cutoff date'

  • COT Status: the current status of the COT

  • Date Transmitted: the date the COT was transmitted (if blank this has not been completed)

  • Last Claim Number:if the status is TRANSMITTED, the number of the most recent claim bundle containing this COT (if blank this has not been completed)

  • Last Claim Acknowledged: if the status is TRANSMITTED, and the most recent claim bundle containing this COT has been acknowledged as being received by the NHS Dental Board, this field shows 'Y' (if blank this has not been completed)

  • Patient Code: the unique code assigned to the patient by the practice management software

  • Patient Name: The patients name in full

  • Provider: The clinician who has carried out this Course of Treatment

  • Contract No (UDA Value):The NHS contract number (England/Wales/IOM) associated with this COT

  • UDAs: the number of UDAs that would result from this COT being completed (England/Wales/IOM)

  • COT Value (£): the monetary value estimate for this COT. For England/Wales/IOM, this is calculated as UDAs (UDA Value factor. E.g. 1 UDA, with a UDA value factor of 25 would equate to £25. For Scotland/Northern Ireland, this is taken from the patient fee amount for this COT)

  • To download a copy of your report you can use the Export Data button to download a CSV spreadsheet.

  • You can use the Print button in the top right as needed.

  • To set up automation of the report you can use the Schedule Report button.
