This report provides analytics on Private Treatment Plans (COTs) by practice or provider over selected time period (daily, weekly, monthly). It displays selected data items for chosen practices but does not currently include NHS Treatment Plans for UK practices.

Completed Treatment Plans: The number of treatment plans marked as complete within the selected period. The completion date is typically the date when the last treatment item was marked as completed in the Patient Management Software (PMS) chart
Completed Treatment Plan Value: The total value of completed treatment plans within the selected period. Each treatment plan's value is the sum of all fees from its individual service items
Incomplete Treatment Plans: The number of treatment plans that are not yet complete and have a planned date within the selected period
Incomplete Treatment Plan Value: The total value of treatment plans that are not yet complete and have a planned date within the selected period
Inactive Treatment Plans: The number of treatment plans marked as 'inactive' in the Patient Management Software (PMS) with either a planned or completed date within the selected period. Both completed and incomplete treatment plans can be marked as inactive
Inactive Treatment Plan Value: The total value of treatment plans marked as 'inactive' in the Patient Management Software (PMS) with a planned or completed date within the selected period
Deleted Treatment Plans: The number of treatment plans deleted in the Patient Management Software (PMS) with a planned or completed date within the selected period. Note that only treatment plans deleted on or after December 1st, 2016, are included, due to the current mechanism for identifying deleted treatment plans
Deleted Treatment Plan Value: The total value of treatment plans deleted in the Patient Management Software (PMS) with a planned or completed date within the selected period
Incomplete Treatment Plans, Appointment Booked: The number of treatment plans that are not yet complete, have a planned date within the selected period, and for which an appointment has been booked, with the patient not marked as inactive
Incomplete Treatment Plan Value, Appointment Booked: The total value of treatment plans that are not yet complete, have a planned date within the selected period, and for which an appointment has been booked, with the patient not marked as inactive
Incomplete Treatment Plans, No Appointment Booked: The number of treatment plans that are not yet complete, have no appointment booked within the next 270 days, and the patient is not marked as inactive
Incomplete Treatment Plan Value, no appointment booked: the total value of treatment plans which are not yet complete and whose planned date falls within this period, no appointment has been booked within the next 270 days and the patient is not inactive
Summary Level
The 'Choose Treatment Plan
Items' list displays values based on the selected 'Summary Level'—either overall practice totals or provider-specific details. The report can show a high-level summary across practices or a detailed breakdown by provider.
All Practices: This option displays one row per analytic item, representing the total for all selected practices. For example, if two practices are selected, the 'Completed Treatment Plans' row will show the total number of completed treatment plans across both practices for each period.
Practice: This option breaks down the results by individual practice. If only one treatment plan item is selected, there will be one row per practice, providing a clear overview across multiple practices.
Provider: Shows the results by practice, and treatment plan provider. Note that for a given treatment plan, it is possible for multiple providers to complete the service items within it. The provider shown under this option is the provider associated with the treatment plan as a whole (i.e. the 'COT provider').
Provider: This option shows results by both practice and treatment plan provider. Note that multiple providers may contribute to the service items within a single treatment plan, but the provider shown here is the one associated with the treatment plan as a whole (i.e., the 'COT provider').
Drilldown: Clicking on any value in the period columns of this report will open the Treatment Plans By Period Detail report in a new browser tab. This detail report will display treatment plans related to the selected row.
For example:
Clicking on a value in the 'Completed Treatment Plan Value' row will show only completed treatment plans in the detail report.
Clicking on any of the 'Incomplete Treatment Plan' item rows will show only incomplete treatment plans in the detail report.

Reporting Columns on NHS Treatment Plans By period Detail Report
This report offers two Reporting Levels: COT and Provider. The layout varies based on the selected Reporting Level.
Reporting Level: COT
Reporting Level: COT
COT Number: The unique reference number for the Course of Treatment. Clicking on the COT number opens a new browser tab displaying the Treatment Plans Detail.
Working Provider: The Provider associated with the Course of Treatment (COT).
CNHS Provider: The Provider (Performer) who will be awarded the UDAs (Units of Dental Activity) or other NHS benefits. This may differ from the actual Provider performing the work (Working Provider), such as in cases where a Therapist or another Provider carries out the treatment but is not eligible to claim for the NHS benefits associated with it.
Payor: Indicates the payor associated with the COT is NHS.
NHS Contract Number: The unique identifier for the NHS contract associated with the Course of Treatment (COT).
UDA Rate £: The monetary value assigned per Unit of Dental Activity (UDA) in Pounds (£/UDA).
UDAs: The total number of Units of Dental Activity (UDAs) associated with the Course of Treatment (COT).
Creation Date: The date on which the Course of Treatment (COT) was created.
Planned Date: The planned date specified on the Course of Treatment (COT).
Started Date: The date the Course of Treatment (COT) was started, determined by the completion date of the first service item within the COT.
Completed Date: The date the Course of Treatment (COT) was completed, typically the date when the last service item was marked as completed (ticked as done).
Patient Code: The unique identifier for the patient associated with this Course of Treatment (COT). If a treatment plan is marked as inactive or deleted due to the patient being deleted, the Patient Code will display UNKNOWN, and the Patient Name field will indicate that the patient record has been deleted.
Patient Name: The name of the patient associated with this Course of Treatment (COT). If the patient record cannot be found (e.g., if the patient has been deleted), the field will display ‘Unknown - poss DELETED pt’.
Owning Provider: The Provider Name/Code of the Dentist assigned to the patient. This Provider may not have completed any work on the patient.
COT Next Appt: The date of the next appointment associated with the specific Course of Treatment (COT).
COT Days to Next Appt: The number of days until the next appointment that is not associated with any Course of Treatment (COT).
Patient Next Appt: The date of the next appointment that is not associated with any Course of Treatment (COT).
Patient Days to Next Appt: The number of days until the next appointment that is not associated with any Course of Treatment (COT).
# Treatment Items: The total number of service items included in this Course of Treatment (COT). A larger number may indicate a more complex treatment plan.
Treatment Plan Value: The total value of the Course of Treatment (COT), calculated as the sum of fees for all service items included in the treatment plan.
Treatment Plan Patient Fee: The total amount of the Course of Treatment (COT) charged directly to the patient. This may be the same as the Treatment Plan Value or reduced if there is a contribution from the NHS payor.
Invoiced Amt: The total amount of fees from the Course of Treatment (COT) that have been invoiced.
Outstanding Amt: The total amount of fees from the Course of Treatment (COT) that remain uninvoiced.
% Completed:
For England & Wales: This represents the percentage of the total Treatment Plan Patient Fee that has been invoiced, calculated as: (Invoiced Amount / Treatment Plan Patient Fee) × 100.
For Scotland & Northern Ireland: This represents the percentage of the total Treatment Plan Value that has been invoiced, calculated as: (Invoiced Amount / Treatment Plan Value) × 100.
Reporting Level: Provider
Reporting Level: Provider
Practice: Name of Practice/Site.
Working Provider: The Provider associated with COT.
Number of COTs: The total number of COTs associated with each Provider. Clicking the count will open a new tab in the browser, displaying the Treatment Plans by Period Detail report with the corresponding COTs.
Total Treatment Plan Value: The combined value of all Courses of Treatment (COTs) associated with the Provider.
Treatment Plan Patient Fee: The total amount of the Course of Treatment (COT) charged directly to the patient. This amount may match the Treatment Plan Value or be lower if a portion of the cost is covered by a payor contribution.
Invoiced Amt: The total amount of the Course of Treatment (COT) fees that have been invoiced to date.
Outstanding Amt: The total amount of the Course of Treatment (COT) fees that remain to be invoiced.
% Completed: The percentage of the Total Treatment Plan Value that has been invoiced. It is calculated by dividing the Invoiced Amount by the Total Treatment Plan Value and multiplying by 100.
