Where can I find the New Patient Created Analysis Report?

What does New Patient Created Analysis Report tell me?

This report can be used to view information about all New Patient records that were created within the reporting period.

When run, it shows data for each selected practice for the reporting period.

Track newly created patients within a specific period.

Track New Patients booked appointments.

Track New Patients Treatment Plans Created.

Track New Patients completed item of treatment.

Track which provider New Patients have been booked with.

Track the value of new patients course of treatment.

Track New Patients without a scheduled visit.

Track New Patient Referral Source, Type or Description.

Report Columns and what they show

  • Created Month: The first day of the month within which the patient record was created

  • Created Date: The actual date on which the patient record was created.

  • Code: the patient code

  • First Name

  • Last Name

  • Inactive: Patient is marked as Inactive

  • Dentist: Provider code for the Dentist assigned to the patient

  • Hygienist: Provider code for the Hygienist assigned to the patient

  • Inactive Reason: Inactive reason given (e.g. moved away)

  • Has Booked Appt: Any booked appointment (Has Booked Appt) or not (No Booked Appt)

  • Has Trt Plans: Any treatment plans created (Trt Plans Exist) or not (No Trt Plans Exist)

  • Has Completed Trt: Any completed treatment items within any treatment plan (Has Completed Trt) or not (No Completed Trt)

  • Home: home phone number

  • Mobile: mobile phone number

  • Work: work phone number

  • Preferred Contact: Patient's preferred contact option (e.g. SMS/Mobile)

  • First Completed Trt: Any completed treatment, the earliest date on which treatment was completed, blank otherwise

  • Days to First Completed Trt: Any completed treatment, the number of days from Created Date to First Completed Trt, blank otherwise

  • Weeks to First Completed Trt: This field calculates the number of whole weeks between the patient's record creation date and their first completed treatment. If no treatment has been completed, the field remains blank

  • 1st COT Provider: Provider code for the provider of the first course of treatment.

  • 1st COT UDAs: UK only - If the patient's first Course of Treatment (COT) was NHS, this field shows the number of Units of Dental Activity (UDAs) generated. Otherwise, it remains blank

  • 1st COT Fee Amt: the total of patient fees for the first COT

  • 1st COT Value: For non-UK and UK private first Courses of Treatment (COTs), this field reflects the first COT fee amount. For UK NHS first COTs, it is calculated as: First COT UDAs × Average UDA Value,
    where the average UDA value is determined by averaging the UDA value factors across all contracts for the practice

  • Category: This field displays the Invoice Summary Category from the Patient Management Software (PMS). If blank, it may indicate that no invoices have been raised or that the relevant treatment service codes have not been assigned to an Invoice Summary Category in the PMS

  • 1st COT Invoice Categories: This field lists all Invoice Summary Categories from the Patient Management Software (PMS) that are linked to any service code in the patient's first Course of Treatment (COT), separated by semicolons.

    If the field is blank or contains only "UNKNOWN," it may indicate that: No invoices have been raised or The relevant treatment service codes have not been assigned to an Invoice Summary Category in the PMS

  • 1st COT Is NHS: Depending on the existence and payor associated with the 1st COT for this patient, this will show one of 'No First Trt Plan Exists', 'First Trt Plan NHS' (UK only) or 'First Trt Plan Private' as appropriate

  • Type1 Code: The Type 1 code from the your Patient Management Software (PMS) patient details screen

  • Type1 Desc: The Type 1 description for this Type 1 code

  • Type2 Code: The Type 2 code from the patient details screen

  • Type2 Desc: The Type 2 description for this Type 2 code

  • Referral Type: This field shows the type of referral source recorded in the Patient Management Software (PMS) patient details screen. Possible values include: "Ref Source - Patient" (if the referral source was another patient) or

    "Ref Source - Other" (if the referral came from a different source)

    If no referral source is recorded, this field may be blank

  • Referral Source: This field displays the code of the referral source or the referring patient code, based on the Referral Type value. Referral source codes are taken from the list available in the patient details screen within the Patient Management Software (PMS), e.g., SIGN

  • Referral Desc: The name of the referral source, e.g. Practice Sign

💡 Top tip: For large reports, use the scheduling functionality to avoid browser limitations. Click the ‘Schedule Report’ button, then select ‘Schedule Now’ under the Schedule Frequency & Period parameter.


  • To download a copy of your report you can use the Export Data button to download a CSV spreadsheet.

  • You can use the Print button in the top right as needed.

  • To set up automation of the report you can use the Schedule Report button.
