How to use the Treatment Plans by Period Detail (BETA)

Learn how to track your treatment pipeline, monitor plan value and invoicing, and identify patients with outstanding or unbooked treatment.

How to monitor your treatment plans

This report displays all treatment plans within the reporting period. It's a must-use tool for any practice to manage and track their treatment pipeline, enhance the patient experience, and identify potential revenue.

What does the report show?

  • Which patients have proposed treatment and an appointment booked

  • What treatment has completed

  • Patients who have a treatment plan proposed but no future appointment scheduled

  • Total treatment plan value, invoiced treatment value, and the value of treatment still to be completed

Generating the report

  • Set your Date Range using a preset or custom dates

  • Select the Practices you want to include

  • Select the Providers you want to include, or leave as All providers

  • Choose your Reporting Level β€” Provider (Summary) or COT (Detail)

  • Select a Completed Type to filter by treatment plan status (e.g. completed, incomplete, or unbooked plans)

  • Select the Payors you want to include, or leave as All payors

  • Filter by Service Codes if you want to search for specific treatment items within a COT

  • Use Total Plan Value and Invoiced Amount to filter for treatment plans within a specific value range β€” useful for quickly identifying your higher value courses of treatment

  • Click Create Report

Summary tiles

The four tiles at the top give you an instant read on your treatment plan position for the period.

Tile

What it shows

Total Treatment Plans

All treatment plans created within the selected date range

Total Plan Value

The combined value of all treatment plans in the period

Total Outstanding Plans

Treatment plans that have not yet been fully invoiced

Outstanding Plan Value

The total value still to be invoiced across outstanding plans



Charts

Plans by Status

Plan Value vs Invoiced by Practice
A bar chart comparing total plan value against invoiced value. Toggle between Practice and Provider views using the buttons in the top right of the chart panel. Use this to see where treatment plan value is highest and how much of that has converted to invoiced revenue.

The results table

Views

Switch between two table modes using the buttons in the toolbar:

  • By Practice β€” treatment plans grouped under each practice, with a summary row showing COTs, Plan Value, Invoiced, Outstanding, and % Completed. Click a practice header to expand or collapse it and reveal the provider-level breakdown. Use Expand All to open every practice at once.

  • All COTs β€” a flat list of every treatment plan, useful when you want to sort or search across all practices simultaneously.

Sorting

Use the Sort dropdown to reorder results:

  • Highest plan value β€” surfaces treatment plans with the greatest total value

  • Highest outstanding β€” surfaces treatment plans with the most outstanding (uninvoiced) value

  • Alphabetical (A–Z) β€” sorts practices or providers alphabetically

Provider breakdown

Expanding a practice reveals the Working Provider breakdown for that practice, showing Number of COTs, Plan Value, Patient Fee, Invoiced, Outstanding, and % Completed for each provider.

Filtering and searching

Use the Filter button to refine results without regenerating the report. Use the Search treatment plans box to find records quickly.

What does the reporting columns mean?

This report offers two reporting levels: COT and Provider. The layout varies based on the selected level.

Reporting Level: COT

  • COT Number: Course of Treatment number β€” clicking it opens a new browser tab which mirrors the patient's charting screen, allowing you to see what treatment service codes have been charted

  • Working Provider: The provider that has charted the treatment β€” the associate carrying out the treatment plan

  • Invoice Payor Code: Payor code associated with the COT. A blank value signifies no payor has been selected β€” the COT is private pay as you go

  • Creation Date: The date the course of treatment was opened

  • Planned Date: The planned date specified on the course of treatment

  • Started Date: The date treatment was started, determined by the completion date of the first service item within the COT

  • Completed Date: The date the Course of Treatment was completed, typically when the last service item was marked as completed

  • Patient Code: The unique identifier for the patient associated with this COT. If a treatment plan is marked as inactive or deleted due to the patient being deleted, this displays as UNKNOWN, and Patient Name indicates the record has been deleted

  • Name: Patient Name

  • Patient Payor Code: A blank value indicates the patient is private and does not belong to any plan (e.g. NHS, Denplan)

  • Owning Provider: The patient's registered dentist on your practice management software

  • COT Next Appt: The date of the next appointment associated with this course of treatment

  • Days to Next COT Appt: The number of days until that appointment

  • Patient Next Appt: The date of the next appointment not associated with any course of treatment

  • Patient Days to Next Appt: The number of days until that appointment

  • # Treatment Items: The total number of service codes charted in the treatment plan

  • Treatment Plan Value: The total value of the treatment plan

  • Treatment Plan Patient Fee: The total amount of the COT chargeable to the patient

  • Invoiced Amt: The total invoiced amount

  • Outstanding Amt: The fees from the COT that have not been invoiced

  • % Completed: The percentage of the total Treatment Plan Value that has been invoiced. Calculated as (Invoiced Amt / Treatment Plan Value) Γ— 100

Reporting Level: Provider

  • Practice: Name of Practice/Site

  • Working Provider: The Provider associated with the COT

  • Number of COTs: The total number of COTs associated with each Provider. Clicking the count opens a new tab displaying the Treatment Plans by Period Detail report with the corresponding COTs

  • Total Treatment Plan Value: The combined value of all COTs associated with the Provider

  • Treatment Plan Patient Fee: The total amount of the COT charged directly to the patient. This may match the Treatment Plan Value or be lower if a payor covers part of the cost

  • Invoiced Amt: The total amount of COT fees invoiced to date

  • Outstanding Amt: The total amount of COT fees remaining to be invoiced

  • % Completed: The percentage of the Total Treatment Plan Value that has been invoiced

Exporting

Click Export to download the report as a CSV, Excel workbook, or PDF. You can also use the Print button in the top right as needed.

Scheduling reports

Instead of exporting manually each time, you can set the report to deliver automatically on a recurring basis - saving you time. Select Schedule Report, then:

  • Name for Report β€” a label to identify this scheduled export

  • Password for Zip File β€” the report is delivered as an AES-256 encrypted zip, so set a password here to protect it

  • Schedule Frequency & Period β€” choose when and how often the report should run (e.g. Schedule Now, or a recurring frequency)

  • Recipient Email Addresses β€” enter one or more email addresses, comma-separated. Recipients must be users in your group. Leave this blank to send the report to yourself.

    πŸ“ Please note: For now, only Admin users can schedule to other people in the group The password is required to open the zip file, so make sure this is shared securely with recipients ahead of time.

Once you've configured your settings, select Schedule to confirm. The report will be delivered automatically as an encrypted zip file to the selected recipients on the schedule you've set.


You can edit or cancel a scheduled report at any time from the Scheduled reports section under Settings.

Data Only mode

Toggle Data Only to hide the summary tiles and charts and show only the table. Useful when exporting or reviewing a large volume of records.

Resetting the report

Click Reset Configuration to clear all filters, column changes, and sorting.
