How to Use the Workflow Compliance Detail Report

A guide for understanding and using the MPC Workflow Compliance Detail report.

This report is primarily designed as a drilldown from the Workflow Compliance Period report, providing detailed insight into reception departure events that occurred within a specified period. It lists each departure event individually, including appointment date and time, the user code of the completing reception staff, patient details, the overall workflow compliance status, and a breakdown of each individual compliance item.

When the report is run, a separate section is displayed for each selected practice.

Select Dates

Selected Practice(s)

Select Workflow Status (eg failed, success)

Create Report

Departure Event Appointment Fields:

  • Tracks departure appointments with four key fields:

    • Day: Weekday (Mon, Tue, etc.)

    • Date: Appointment date

    • Time: Appointment time

    • Completing User: Code of the reception user who completed the event

Patient:

  • Patient Code: Unique identifier for the patient

  • Patient Details: Patient’s title and full name

  • Home: Patient’s home phone number

  • Mobile: Patient’s mobile phone number

  • Email: Patient’s email address

  • Preferred: Patient’s preferred contact number

  • Current Debit Balance: Patient’s outstanding debit balance (only shown if positive)

  • Status Key Item: Displays ‘Failed’ if any critical workflow items failed; otherwise, blank

  • Status Any Item: Displays ‘Failed’ if any workflow item failed; otherwise, blank

  • Failure Reason: Describes the reason for failure, if provided

  • Key Completion Items:

    Payment: ‘Failed’ if required payment was not taken

  • Future Planned Treatment Appointment Booked: ‘Failed’ if required future treatment appointment wasn’t booked

  • Future Dentist Recall Booked: ‘Failed’ if required dentist recall appointment wasn’t booked

  • Future Hygienist Recall Booked: ‘Failed’ if required hygienist recall appointment wasn’t booked

  • Mobile Number:

    • ‘Failed’ if patient’s mobile number was not recorded

    • ‘Later’ if “Prompt in 12 Months” was selected in the PMS contact detail

  • Email:

    • Failed’ if patient’s email was not recorded

    • ‘Later’ if “Prompt in 12 Months” was selected in the PMS contact details

  • Marketing Consent: ‘Failed’ if patient’s marketing consent wasn’t obtained

Other Completion Items:

  • Friends and Family Survey: Shows ‘Failed’ if enabled in the PMS but not completed for this departure event

  • Reputation.com Kiosk: Shows ‘Failed’ if enabled in the PMS but not completed for this departure event

Parameters

The report parameters are:

  • Date Range: Specifies the reporting period; includes reception departure events between the start and end dates

  • Practices: Selects either all practices or specific practices within the practice group

  • Status Filter: Filters departure events by status; defaults to ‘All Statuses’ but can show only events that failed or succeeded key workflow or any workflow items

💡 Top tip: Ensure you choose the appropriate Practice, Provider(s), and any necessary filters before generating the report to ensure accurate results

  • To download a copy of your report you can use the Export Data button to download a CSV spreadsheet.

  • You can use the Print button in the top right as needed.

  • To set up automation of the report you can use the Schedule Report button.
